Please check parent contact details for vaccinations

Dear name of school,

We’re writing to remind you about the importance of checking parent contact details before you provide pupil information to the school age immunisation service (SAIS).

We use the details you provide to contact parents about their child’s vaccinations and ask for consent. This is why it’s important to make sure these details are accurate and belong to someone who has the authority to consent to the child’s vaccinations.

What you need to check

Before you provide pupil information for vaccinations, make sure that:

  • the parent’s name and contact details are correct
  • their relationship to the child is correct
  • they have the authority to consent to the child’s vaccinations

Schools may hold contact details for other people who can be contacted about a child, for example if the child is unwell or needs to be collected from school. These contacts may not have the authority to consent to vaccinations.

Do not provide their details for vaccination purposes unless they have the authority to give consent.

Tell us about changes

If you have already provided parent contact details and become aware that they are no longer correct, or that someone should no longer receive information about the child, please let us know immediately so we can update our records.

What we mean by ‘parent’

We use the word ‘parent’ to refer to someone who has the legal right to consent to a child’s vaccination. This includes someone with parental responsibility or delegated authority to consent to vaccinations.

Checking these details before you provide them helps make sure that vaccination information and consent requests are sent to the right people.

Thank you for your help.

Kind regards,
